FormDr vs Google Forms for patient intake: will switching save you work?

The cheaper form could leave your team with more work.
You already pay for Google Workspace. Could Google Forms replace another intake subscription? A questionnaire is easy enough to picture.
The harder question is what happens after submission. If staff must chase information, organize files, and reproduce tasks your current tool handles, the smaller bill may hide a larger time cost.
Compare the whole intake process, from invitation to filed record.
Take one representative packet and list every job it performs. A simple questionnaire may fit managed Workspace after review. Signatures, uploads, reminders, and record connections need a closer comparison.
Google lists Forms within its HIPAA included functionality. The practice still needs the applicable agreement and suitable settings. Personal Gmail is not the same arrangement, and third-party add-ons are not covered by Google’s Workspace BAA.

Test the patient experience before calculating savings.
Google requires respondents to sign in to a Google account to upload files. If your packet asks for a card photo, that extra step matters. A patient who cannot complete it may call the office or arrive without the paperwork.
Check consent and signature requirements too. A field accepting a typed name does not establish that the process meets the requirements for a particular document.
Count the manual steps you would be adding.
Have staff process a trial submission using invented details. Record what they must download, rename, send, chase, or enter elsewhere. Confirm what stays automatic and what needs another tool.
Then decide: keep dedicated intake, use Workspace for a simpler questionnaire, or change only the part causing trouble. You need a process the practice can run consistently.

Google Forms may fit a simple questionnaire if the account, access, and staff process fit. If signatures, reminders, or patient-record connections are essential, keeping a dedicated intake tool may be simpler. Confirm current features and plan terms.
Before you decide
Why not use a personal Gmail account?
The proposed intake workflow depends on the practice’s managed Workspace account and its applicable agreement. A personal Gmail account does not give you that same organization-managed setup, so the recommendation does not carry over simply because both use Google products.

Can FormDr send records to Google Drive instead?
FormDr lists a Google Drive export option, which may be worth considering if the real goal is to organize exported records rather than replace the patient form. Keeping intake in FormDr while changing where exports go could be a smaller project.
That creates another copy to manage, so both accounts, access permissions, and retention need review. We can help compare that route with a full form replacement once the practice explains what it needs the exports for.
