Leaving NexHealth: what to replace before you cancel
A new booking tool may not replace reminders, forms, and record connections. Use this NexHealth exit checklist to find the gaps before closing your account.
Canceling one subscription can leave several jobs without a home.
You found a new booking tool and are ready to leave NexHealth. Then someone asks about reminders, completed forms, or the connection to practice records.
If those jobs depend on the account you are closing, replacing the calendar leaves a gap. The cost of leaving includes the staff time and replacement services needed to keep them running.
Name a replacement for every function you actually use.
Walk through an appointment process with staff, without copying patient information into the plan. List booking, forms, reminders, messaging, payments, and integrations where your account uses them. Assign each an owner and proposed destination.
Some work may already happen in your practice-management system. Other work needs a new service or an explicit manual process. Resolve that before choosing a cancellation date.
Get the export answer in writing.
Ask NexHealth which records, signatures, attachments, and message history your account can export, in which formats, and when access ends. Ask the replacement vendor what it can import.
An export file is not proof of a usable transfer. Staff need to check representative records and find the information they will need later. Do not assume a universal export or one-click migration exists.
Run the replacement before relying on it.
Test an agreed appointment journey, including follow-up. Check rescheduling, an incomplete form, and a different office. Coordinate tests to avoid unintended patient messages.
Then set switch, export, and deactivation dates against your contract. If you only want a better website, keep NexHealth and use the separate redesign guide instead.

Questions to verify, not promises that every data type can be exported or imported elsewhere.
Before you decide
Can Google Workspace replace the whole platform?
Workspace may help with selected email or questionnaire tasks, but those are only some of the jobs NexHealth may do. A form that collects answers does not automatically keep the appointment schedule in sync, send the expected reminders, or put the information into the right patient record.
We would map those jobs separately and name a replacement for each. That makes the extra staff work and integration needs visible before you decide whether the overall change is worthwhile.
What if we only dislike the website?
If the frustration is with the website’s appearance or how patients find booking, you may be able to keep NexHealth and change the public site. That avoids introducing a software transition your staff did not need.
We would first review the website journey and reconnect the approved booking links in a preview. If the problem is inside the booking or intake workflow itself, we would scope that separately rather than assume a redesign will resolve it.
